About the role
Position: Coordinator, Events
Position Type: Full-time, term position until March 31, 2027
Reports to: Manager, Events
Start Date: As early as April 29, 2025
Location: Remote from home, resident in Canada
We are seeking a highly organized and detail-oriented Coordinator, Events to join our Communications & Marketing department. Reporting to the Manager, Events, this role will be responsible for supporting the planning and executing of on-site and virtual events. The role includes managing event logistics, sourcing vendors, coordinating participant communications and maintaining attendee registration systems. The ideal candidate will have experience in event coordination, excellent communication skills and the ability to manage multiple tasks in a fast-paced environment. Priority events include board meetings and receptions, fundraising events, government engagement, trail openings and announcements, conferences and on-trail activations.
This position is open only to residents of Canada, who are eligible to work in Canada.
Key responsibilities
- Support the organization by assisting in the planning and execution of event logistics, including venue setup, catering, transportation and on-site coordination.
- Research and source quotes from vendors to ensure cost-effective and high-quality services.
- Manage participant communications, including responding to inquiries and providing event details.
- Maintain and oversee the event registration system to ensure smooth participant sign-up and engagement.
- Collaborate with internal teams to align event goals with organizational objectives.
- Support event and meeting related needs for all departments, including workshops, on-site team meetings, all-staff retreats, etc.
- Assist in post-event evaluation and reporting to measure event success and identify areas for improvement.
- Stay up to date on industry trends and best practices in event planning and management technology.
- Represent the organization and its brand at owned and external events as required.
- Occasional travel, weekend and evening work may be required.
Desired experience and qualifications
- At least 2-3 years of experience in event coordination.
- Proven experience in event planning, logistics coordination or a related field.
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent verbal and written communication skills.
- Experience with event registration platforms (e.g. EventCreate, Eventbrite).
- Familiarity with virtual event P2P fundraising technology platforms is an asset.
- Ability to work independently and as part of a collaborative team.
- Proficiency in Microsoft Office tools.
- Excellent English verbal and written communication skills. Bilingual (English and French), an asset.
Compensation package
We offer a compensation package that includes:
- Hiring salary of $58,000 per year
